- Overview of the Ontario Association of Naturopathic Doctors (OAND)
The Ontario Association of Naturopathic Doctors (OAND) connects people who are interested in a proactive approach to their health care to the right Naturopathic Doctor for them, while providing leadership, advocacy and support for Ontario’s licensed Naturopathic Doctors.
We are seeking proposals for a full re-design of our website, coupled with on-going website maintenance. Proposals should factor in the integration of our Members Portal, as well as our CRM platform. The successful proposal will offer a comprehensive solution that is easily maintained and updated by association staff as needed, while maintaining the flexibility to support our growing membership.
- Project Goals and Objectives
The OAND requires a website redesign and development project that meets the following objectives:
- Modern and User-Friendly Website: The new website should be visually appealing, easy to navigate, and accessible on all devices, enhancing the user experience for both members and the general public.
- Flexible Members’ Only Portal: The solution should allow for the continuity of, and potential improvements to, a robust, secure, and flexible members’ only portal that allows OAND staff to make changes and updates without technical expertise, including managing content, member registrations, event registrations, and communication.
- CRM Integration: The website and members’ portal must integrate seamlessly with OAND’s CRM system, ensuring smooth data flow and management of member accounts, renewals, communication, and event registrations, while allowing for the flexibility to explore switching CRMs in future.
- Content Management Flexibility: OAND staff should be able to easily manage and update website content, including text, images, documents, and links. Additionally, the members’ portal should be customizable for new features, functionalities, and content management as the association’s needs evolve.
- Scope of Work
The project will include the following key components:
- Website Design & Development:
- Redesign of the OAND homepage and main site pages to create a more modern and user-friendly experience.
- Development of a responsive website design to ensure functionality across mobile, tablet, and desktop devices.
- Implementing search functionality, and easy-to-navigate menus and sections.
- Integration with existing social media platforms, newsletters, and other communication channels.
- Members’ Only Portal Maintenance:
- Continue the hosting of a secure members’ portal that allows for easy content and user management.
- Integration with current member databases, including user authentication and access control features.
- Features such as event registration, member directory, document sharing, professional resources, and continuing education management.
- CRM Integration:
- Assessment and analysis of the CRM system to ensure compatibility with the new website and portal.
- Full integration of the CRM with the new website, ensuring that member data, communications, and activities are synchronized seamlessly.
- Content Management System (CMS):
- Selection and implementation of an easy-to-use CMS that allows OAND staff to manage the website and portal content with minimal technical expertise.
- Testing and Quality Assurance:
- Thorough testing of the website, portal, and CRM integration to ensure all features work as intended and that there are no bugs or errors.
- Training and Documentation:
- Provide OAND staff with training on managing the website, portal, and CRM system.
- Deliver documentation for ongoing maintenance and updates.
- On-going Maintenance
- A fee structure to support on-going maintenance of and updates to the main website and Members’ Portal.
- Proposal Requirements
Interested vendors should submit proposals that address the following:
- Company Background: Provide an overview of your company, including relevant experience and expertise in website design, development, CRM integration, and portal management.
- Project Approach and Methodology: Outline your approach to website development, including project phases, timelines, and milestones. Detail how you will integrate the CRM and develop a flexible members’ portal.
- Portfolio: Provide examples of previous work that demonstrates your ability to deliver high-quality, user-friendly websites and integrated member portals.
- Team Members and Roles: Include the names and qualifications of the team members who will be involved in the project, outlining their specific roles and responsibilities.
- Timeline: Provide an estimated timeline for the completion of the project, from initial design through to the launch of the new website, portal, and CRM integration.
- Client’s Responsibilities: Include the tasks, roles, responsibilities and expectations the vendor has for the OAND’s role in the project
- Cost Breakdown: Submit a detailed cost proposal, including any additional costs for training, maintenance, and ongoing support.
- Maintenance and Support: Outline the maintenance and support services offered post-launch. Please provide separate pricing for the one-time website redevelopment project and the on-going maintenance component, including response times and service level agreements (SLAs).
- Evaluation Criteria
Proposals will be evaluated based on the following criteria:
- Experience and qualifications of the vendor and proposed team.
- Clear understanding of the project goals and objectives.
- Creativity and technical proficiency in website design, member portal development, and CRM integration.
- Cost-effectiveness and value for money.
- Timeline for project completion.
- Proposed ongoing support and maintenance services.
